POLICIES FOR RENTING TEATRO SCARPINO
Venue rental: Standard rental is for events of up to four hours, with the
venue available up to three hours immediately preceding the event for set-up.

Capacity: Teatro Scarpino accommodates up to 300 people. There is
cabaret-style seating for 100 in addition to lounge seating for 20, bar seating
for 20 and outdoor Piazza seating for 25 guests. With the new Veranda, there is room for an additional 150 people.
Tables & Seating: Teatro Scarpino rental includes four rectangular 60" x 30”
buffet tables and the following round tables: 10 four-person tables, 10
three-person tables, 10 two-person tables and three high-top two-person tables
for a table-seating capacity of 96 persons, plus bar seating and upholstered
furniture, which can accommodate an additional 30 people. Ten 60-inch round tables also are
available for a fee of $10 each. For ceremonies, rows of chairs can be set up to seat 70 for a $200 fee. If lounge furniture is reset, there is a $100 fee.
Linens, flatware and glassware: White or violet tablecloths with plum
overlays and place settings are provided at no additional cost for all Friday
and Saturday events using in-house catering. For Sunday-Thursday events and/or
when an outside caterer is used, the following fees will apply: 1) Violet
tablecloths: $7 per table 2) White tablecloths: $10 per table 3) Glassware: $50
flat fee 4) Place settings (includes flatware, plates and napkins): $3 per
person.
Technical equipment: Teatro Scarpino offers professional-quality sound and
lighting equipment and a 12-ft. x 20-ft. stage. There is a $100 fee for stage
set-up and breakdown.
Technical services: Teatro Scarpino will provide a sound/lighting technician
for up to four hours for a flat fee of $150. Additional hours will be charged at
$50 per hour.
Catering: Teatro Scarpino will provide in-house catering; the in-house caterer
will provide prices and menus. Catering is subject to the all Rental Agreement
Terms and Conditions as well as the provisions of the License Agreement. A final
guest count must be provided and catering services must be paid for in full at
least 21 days before the event. Clients also may use Arkansas-licensed caterers
to provide food and associated services. An outside caterer may be used under special curcumstances only. A Kitchen-Use Fee of $300 and a $200 Venue-Cleaning Fee will be charged
whenever an outside caterer is used.
Alcohol: Teatro Scarpino is licensed to serve beer and wine. Hard
liquor and keg beer are not permitted on the premises. If alcohol is found in the venue or outside piazza, a $200 fine will be taken from the damade deposit. Beverages can be served
through any of the following procedures:
- Beverages served by the drink as a cash bar; paid individually by guests.
- Specific beverages are ordered by the case from Teatro Scarpino; unconsumed
beverages will not be repurchased and cannot be legally removed from the
premises; payment is required in advance, at least 21 days before the event.
Additional beverages can be obtain from house stock if pre-paid supply is
exhausted during the event.
- If the Renter chooses to provide his/ her own wine, the following fees will
apply: Wine-corking fee: $15 per 750 ml bottle; $30 per 1.5 ml bottle. All beer
must be provided by Teatro Scarpino.
With the exception of a cash bar, beer and wine must be paid for when the final
guest count is determined, at least 21 days before the event. If the Renter ’s
alcohol order is increased during the event, alcohol charges must be settled
immediately following the event. Unless other arrangements have been made.
Servers/Bartenders: In order to provide the best possible service, Teatro
Scarpino will determine the number and type of service staff personnel. Service
staff will be provided for a fee of $150 per server/bartender per four-hour
event, and at $20 per hour for any additional time. Bartenders will provide
services at the bar only . Servers will serve food and drink and bus tables.
Additional bussers may be provided for $100 each for a four-hour event, and at
$15 per hour for any additional time. When outside caterers are used, the
caterer will provide the kitchen staff and may provide the wait staff. Only
Teatro Scarpino will provide the bartenders and may provide servers at the
request of the renter. Service staff will typically be staffed at the following
levels:
Bartenders: one bartender for every 50 people.
Servers for reception-style buffets: one server per 50 guests.
Servers for sit-down buffets: one server per 15 guests.
Deposits: A deposit of 50% of the venue rental fee is required to reserve
Teatro Scarpino more than 120 days in advance. All non-catering fees are due in
full 90 days before the event. When the Venue is rented fewer than 90 days in
advance, all fees except catering and alcohol are due in full upon completion of
the License Agreement. A standard damage/security deposit of $500, all catering
fees, and all alcohol fees are due 21 days before the reserved date; the
security deposit will be refunded, minus charges for any additional cleaning or
repairs, within 10 business days following the event. Events cancelled more than
120 days before the rental period will be refunded less a handling fee of 20% of
basic venue rental fee. Deposits for rental periods that are cancelled less than
120 days prior to the rental period will be forfeited. The caterer will be paid a rate of $25 per hour for any time spent working on an event prior to cancelation.
The following policies also will apply to all events:
1. Disk jockeys and bands must be set up and have completed their sound
checks and tuning at least two hours before the event. They must vacate the
premises within one hour of the completion of the event.
2. Disk jockeys, bands and caterers must contact the Teatro Scarpino manager
to verify their plans for the event at least 7 business days before the event.
3. Garish light shows are inappropriate for the Scarpino venue.
4. No birdseed, rice, glitter, flower petals may be thrown in Teatro Scarpino
or on the premises. Only small tea-lights or votives may be used on tables.
5. We cannot store band equipment, floral arrangements, vases and floral
stands, cake stands or other equipment. Please make arrangements for these items
to be removed immediately following your event.
